If you run ServiceM8, SimPRO or AroFlo, the question is usually the same: can an AI receptionist take the call, collect the details, and create a job in my system without me touching it? The short answer is yes, with caveats. The honest answer follows.
What “booking into” actually means
There are two things people mean when they say “book into” a job-management system:
- Creating a job or lead — the caller’s details, job type and suburb land in ServiceM8 or SimPRO as a new record, ready for you to schedule.
- Writing to a live calendar — the AI checks availability and books a time slot directly, like a client self-booking into your diary.
The first is achievable today. The second is harder, depends on which system you use, and in most trade businesses it’s not what you actually want — you want the job created so you can schedule it, not the caller.
What each system exposes
ServiceM8
ServiceM8 has a REST API and also connects through automation platforms like Make and Zapier. Creating a job or a lead from a phone call is achievable through those connections. What we have not built is a native, vendor-supported integration — one where ServiceM8 themselves endorse or maintain the connection. If a provider claims a native ServiceM8 integration, check whether ServiceM8 lists it in their own marketplace. We connect through Make or Zapier, and we’ll say so plainly.
SimPRO
SimPRO exposes an API and has a marketplace of add-ons. Lead and job creation through Make or Zapier is possible. Whether a specific action — creating a quote, attaching a file, writing to a particular field — is available depends on what SimPRO exposes at the time. We verify what’s possible with your specific setup before quoting, and if something needs a native integration we haven’t built, we’ll tell you.
AroFlo
AroFlo has an API and supports integrations through Zapier. The same principle applies: creating a lead or job record from a call is achievable, but the range of actions available depends on what AroFlo’s API exposes for the specific task. If you need something we’re not certain about, we’ll check before promising it.
What happens when the AI has incomplete details
A caller says “I’ve got a blocked drain” but doesn’t give a suburb. Or they give a postcode the system doesn’t recognise. Or they’re vague about urgency. The AI asks your qualifying questions — job type, suburb, urgency, access — in the order you set. If the caller won’t or can’t answer, the AI does one of two things depending on your rules:
- Creates the job or lead with what it has, flagging the missing fields so you know what to follow up on.
- Takes a message and sends you a summary, leaving the job creation to you.
It does not guess. A job created with a wrong suburb is worse than no job at all, so the system errs toward capturing what it can and flagging what it can’t.
Where a person has to take over
Some calls should not be handled by AI at all, and you set the rules for which ones. Common handover triggers:
- Complaints — the AI takes the details and routes to you immediately.
- Emergencies or safety issues — the caller is transferred or you’re paged.
- Anything involving money above your published ranges — the AI won’t quote a price unless you’ve told it to.
- Existing customers with account queries — depends on your rules, but often better routed to a person.
When a handover happens, you get the full call summary — what was discussed, what was captured, why the AI escalated. The job in ServiceM8 or SimPRO is created with whatever was collected before the handover.
What changes the build cost
A simple AI receptionist that answers calls and sends you a summary is one price. Adding job creation in ServiceM8, SimPRO or AroFlo adds build work — mapping fields, testing the connection, handling errors when the API is down, and setting up fallbacks. The more fields you want written, and the more complex the routing rules, the more setup time it takes.
The monthly fee covers the managed service — call answering, summaries, knowledge updates and support. The integration build is a setup cost quoted after we’ve looked at your specific system and what you need written into it.
The honest bottom line
An AI receptionist can create a job or lead in ServiceM8, SimPRO or AroFlo through Make or Zapier. It is not a native integration built by the software vendor, and we won’t pretend it is. If you need a level of integration that requires something the API doesn’t expose, or a native connection we haven’t built, we’ll tell you before we take the work — not after.
