The honest answer to “what should I automate first” is usually “the cheapest thing that fixes the problem you actually have” — and sometimes “nothing yet.” Here’s how we work that out.

The five problems automation fixes

Every business we work with has a leak in one or more of these five places. The order matters — fixing the last one before the first is wasted money.

1. Not being found

If people can’t find you on Google when they search your trade and their suburb, nothing else matters. No point automating follow-up for leads that never arrive.

The cheapest option here is a one-page site and a properly set up Google Business Profile. If you’re already showing up in the map pack, skip this section.

2. Not answering

You’re being found, but calls go unanswered while you’re on the tools. A missed call rarely leaves a voicemail. They ring the next number.

  • If you miss calls occasionally and just want to recover them: missed-call text-back. It’s the cheapest system we build and the fastest to prove the concept.
  • If you miss calls regularly and want them actually answered: an AI receptionist.
  • If enquiries come in on Facebook, Instagram and WhatsApp as well as the phone: a social enquiry capture system that brings every channel into one list.

Start with missed-call text-back. If it proves the concept — you recover leads you’d have lost — the AI receptionist is the natural next step. If text-back doesn’t recover anything because nobody replies to texts either, an AI receptionist won’t fix that. The problem is something else.

3. Not following up

You answer the call, capture the lead, send a quote — and then the quote goes quiet. Three weeks later you find it and think about ringing, but it feels awkward now.

  • If you lose track of leads: a CRM pipeline so every enquiry is in one place.
  • If you track them fine but forget to chase: automated lead follow-up that runs on its own until they book, say no, or go cold.

A CRM nobody updates is worse than a spreadsheet. If nobody in your business is going to maintain it, don’t buy one. The follow-up system, on the other hand, runs whether you touch it or not — that’s the point.

4. Not retaining

You do good work, the customer is happy, and then you both get on with your lives. No review, no reactivation, no reminder when they need you again in six months.

  • If you have happy customers but few reviews: review generation. Ask every happy customer at the moment they’re happiest.
  • If you have a list of past customers you never contact: a reactivation campaign. Cheaper than ads to strangers.

Review generation is cheap and the ROI is the easiest in the catalogue to see — you watch the review count climb. Reactivation depends on list size and quality, so look before you leap.

5. Drowning in admin

The same details typed into a quote, then an invoice, then a job sheet. Reports built by hand on a Sunday.

  • If you’re retyping the same information: admin automation that connects quotes, invoices and job sheets.
  • If you don’t know your numbers: dashboards that show enquiries, quotes, bookings and reviews in one place.

This is the last thing to fix, not the first. Automating admin before you have enquiries to administer is polishing a car with no engine.

When the answer is “nothing yet”

If you’re getting few enquiries, answering the ones you get, following up consistently, and your admin is manageable — don’t automate for the sake of it. Automation costs money and time to set up, and it only earns its keep when there’s a leak it fixes.

The businesses that benefit most are the ones losing leads somewhere in the chain — not answering, not following up, not asking for reviews, retyping the same details four times. If none of that is happening in your business, spend the money on something else.

How to decide in five minutes

  • Can people find you on Google? If no, fix that first.
  • Do you miss calls during the day? If yes, missed-call text-back first, then AI receptionist if it proves the concept.
  • Do quotes go quiet? If yes, automated follow-up.
  • Are you retyping details into multiple systems? If yes, admin automation.
  • Do you have happy customers but few reviews? If yes, review generation.
